Give callers a clear expectation
Outside opening hours, a useful first response explains that the team is unavailable, answers approved practical questions and offers to take a message. It should state when staff normally return without promising a callback deadline your business cannot meet.
Capture what tomorrow’s team needs
The proposed flow records whether the caller wants servicing, vehicle sales or another department, plus their contact details and a short description. A concise handover helps staff prioritise follow-up when the business reopens.
Agree exceptional situations before launch
A caller reporting a breakdown or an urgent safety concern needs a defined response. Agree the relevant escalation wording and any approved assistance contact before the pilot. This is not an emergency or roadside-assistance service, and the assistant should not provide mechanical safety advice.
Choose when answering switches over
Start by reviewing the hours and forwarding options on your current telephone system. Unanswered-call routing and out-of-hours routing may need different settings. Test weekends, holidays, failed transfers and voicemail interactions before enabling the service for customers.
Your questions, answered.
Is a person available all night?
Automated call coverage and human support are different. Human support hours and escalation arrangements are agreed separately.
Can callers book for the next morning?
They can request a preferred time in the proposed pilot. Your team confirms it unless an approved booking connection has been implemented.
Are after-hours calls unlimited?
No. Proposed packages have monthly AI call-minute allowances, with extra usage and telephone charges assessed separately.
